Protecting Your Online Life With Secure Passwords

With all of the recent online services and companies falling under attack to hackers in the past few months, it seems only fitting to talk about password creation and management. There are a lot of resources out there discussing this, but it never hurts to revisit this topic time and again because of its importance.
Password management isn’t necessarily a difficult thing to do, yet it does seem like a bit of an annoyance to most people. When it comes to password management, you will hear the famous line, “I don’t really care about changing my passwords regularly. I have nothing important online anyways.” Let’s see if you have nothing important online when your PayPal account gets taken over because you thought the password “password” was good enough.
In my opinion, it is an “internet user’s” responsibility to make sure that they keep secure passwords and update them on a regular basis. In this article we will discuss how to make your online presence more secure and keep it secure.
The easy fundamentals
First thing is first; creating a strong password.
A strong password is a mixture of alpha-numeric characters and symbols, has a good length (hopefully 15 characters or longer), and doesn’t necessarily represent some word or phrase. If the service you are signing up for doesn’t allow passwords over a certain length, like 8 characters, always use the maximum length.
Here are some examples of strong passwords:

And not so good examples

You can check out PC Tools Password Generator here. This is a great way to make up some very strong passwords. Of course the more random passwords are harder to remember, but that is where password management comes into play.
Managing your passwords
I know some people that keep their passwords in an unencrypted text file. That’s not a good idea. I suppose that if you aren’t doing much online and are decent at avoiding viruses and such, it could be OK, but I would never recommend it.
So, where do you keep your strong passwords for all the services that you visit on a daily basis?
There are a ton of password safes out there including KeePass, RoboForm, Passpack, Password Safe, LastPass, and 1Password. If and when I recommend any of these I always count on LastPass and 1Password.
Both LastPass and 1Password offer different entry types for online services logins (PayPal, Twitter, Facebook, Gmail, etc.), credit cards and bank accounts, online identities, and other types of sensitive information. Both have excellent reviews and only differ in a few subtle ways. One of the ways that is more notable is that LastPass keeps your encrypted password Vault online where 1Password allows you to keep it locally or shared through Dropbox. Either way, you are the holder of the encryption keys and both ways are very secure.
LastPass and 1Password both offer cross-platform support as well as support for Android and iOS (LastPass even has BlackBerry support). 1Password is a little pricey ($39.99 for either Windows or Mac) where LastPass has free options as well as premium upgrades that allow for mobile syncing.
Upkeep
You should probably change your passwords for your “important” accounts at least every 6 weeks. When I say “important” accounts I am referring to ones that you just couldn’t imagine losing access to. For me that would be Gmail, PayPal, eBay, Amazon, all my FTP accounts and hosting accounts, Namecheap, etc. Basically these include any account where financial information could be lost or accessed as well as accounts that could be totally screwed up (like my webserver).
There is no hard and fast rule to how often you should change your passwords, but 6 to 8 weeks should be pretty good.
Alternatives
You may think that all of this is just too much to manage on a daily basis. I will admit it is kind of annoying to have to change your passwords and use a password manager on a daily basis. For those people out there that don’t want to go through all of the hub-bub of super-secure, encrypted, password management, here are a few tips to keep you safe:
- Create a unique and hard to guess “base password” and then a pattern to use for each site you logon onto. For instance a base password could be “Ih2BaSwAa” (this stands for “I have two brothers and sisters who are annoying”). Then you would add something “site specific” to the end of it. For Twitter Ih2BaSwAaTWTTR, Facebook Ih2BaSwAaFCBK, etc. This is sort of unsecure, but probably more secure than 99% of the passwords out there.
- Don’t write your passwords down in public places. If you want to keep track of passwords on something written, keep it on you at least. The problem is that if you get your wallet stolen you are still out of luck.
- Don’t use the same passwords for every service. I’m not even going to explain this; just don’t do it.
These are just a few things that can be done rather than keeping your passwords in a management system. Personally, with over 100 entries in my password management system, I couldn’t even dream of doing any other way. But those out there with only a few passwords, having a simpler system may be beneficial.
So, if you want to be a “responsible internet citizen” or you just don’t want to lose your precious account data, then creating and maintaining strong passwords for your online accounts is a must.
Dad is My Greatest Teacher

There are a lot of young guys around the world that don’t get a chance to grow up with a father. And because of that, may lack the knowledge of what “being a man” is. At the same time, there are young men growing up that have a father at their disposal and still don’t get valuable life lessons. It’s a shame.
Shock
My father died when I was 18 years old during my senior year at high school. He had a blood clot pass in his lung. I remember the day vividly, being woken up at a friend’s house the night after my band played in some far off place. It was a beautiful, sunny, Sunday morning and I remember seeing my family members’ faces as I walked into the hospital. No one really said anything to me but I could hear from their expressions,
“Everything will be OK, bud.”
What happened next is a blur still to this day. I had to deal with the public viewing of my dead father, helping bury him at the funeral, a 21 gun salute, “becoming the man of the house” (or so all my relatives said), and appeasing my weakened mom in the process.
Lost
What happened in the next 3 years was something that I choose to describe as being lost. I entered a phase in my life where I was in a semi-touring, semi-serious band and had a terrible outlook on life. I had a problem with everything; from society to myself. I didn’t have any real friends or relationships and just “faked” my way through. I made a ton of terrible decisions, worked a crappy job and was looked down upon by my most of my family because of those terrible decisions.
It was only until I decided to make a drastic change in my life that I could make up for this lost time. Some people go 20 or 30 years without having a bottom in their lives and one day look back and see the wreckage of their past. Luckily, my bottom was at 21. I’ve come to accept this and liken it to what Robert Frost wrote,
“… the best way out is always through.”
He did his best
After my period of being lost, I got very angry at my father for not being what I thought that he should have been in my life. Why did he never teach me to build a fire? Go camping? Teach me other “manly” stuff that every father teaches their son, right?
It took me a while to make my way through the five stages of grief. I was at the anger stage.
After talking to someone that had some more experience with death, life, and resentments I came to realize this: my father did the best he could with the tools that he had to work with. My dad never laid a hand on me or my mom, was at all of my opening nights at the theater when I was young and in plays, took me fishing (when I wasn’t being stubborn and wanted to go), wanted the absolute best for me and my mom, and later in life, indirectly taught me what it is to be a man.
And for that, I can overlook the not teaching me “how to build a fire thing”.
Learning from mistakes
So, what does this have to do with Father’s Day? Other than this post being something that I needed to write, accepting my father for who he was has enabled me to become the man that I truly want to be because of my learning from his mistakes.
Would you touch a hot stove right now? I have a feeling that if you have touched a hot stove in the past and remember the pain of being burnt, you won’t do it. It’s the same idea of learning how to be a man from my father.
If the old man before me did things that were right, then hopefully I pick up those traits. And if he did things that were wrong, I sure as hell need to learn not to do those things. Learning from my dad’s mistakes has helped me develop my own, upgraded “set of tools” that I can use to do my best in life.
Teach me
My dad was one of the greatest teachers I have ever met and he didn’t even try to be or know that he was. There are so many things that I have accomplished since his death that I wish I could share with him. That is the one thing that still chokes me up to this day. But, allowing to let my father live through me, I know that he is with me every step of the way; even when I’m stubborn and don’t want to go fishing.
So, on this Father’s Day, make sure that you understand that your dad does the best he can with the tools that he has. It’s not a father’s job to teach you how to build a fire. It’s your job to learn from him, develop your life’s tools to do your best, and live the life that you want to live.
When a Paper Planner Can Be Your Best Productivity Tool

There are a lot of elegant tools for your OS and online that help you keep track of all your commitments, projects, tasks, goals, checklists, etc. Each of them have their own set of awesome features as well as their weaknesses.
I remember around a year ago when I was lost in the sea of productivity applications (if you have been there yourself, I totally feel for you). This mostly happened because I would find an app that I would like a lot and then find one or two things that it just couldn’t handle in my workflow. Because of that I played around with a ton of productivity applications and wasted a lot of my time procrastinating on projects.
Here is what I found
There is no perfect productivity, todo list, or Getting Things Done application for everyone.
Sorry.
But wait, before you leave and go Google something like “best GTD app -lifehack.org”, I have to tell you that there is one tool that led me to find a productivity application that worked perfect for me.
My travels through the sea of endless list making apps led me back to where I started my journey with productivity and Getting Things Done: pen and paper.
Why it works
There are a lot of things that paper doesn’t have that digital tools do including ubiquitous search, automated repeats, nesting of tasks, quickly changing lists and due dates, reminders, etc. But it does have one thing over digital tools that makes it one of the best ways to start being productive; unlimited flexibility.
If I want to take a note about a certain task in a digital tool, I have to invoke some sort of option in the system to say that I want to make that note. I type the note, and if the system is good, it will save it automatically. Otherwise I have to tell it to save the note about the task.
With paper and pen, I locate the task and write something near it. Or, hell, even on top of it if I want.
Paper planners work because they are flexible and with that flexibility eventually comes an awareness of how you work your productivity system, not how it works you.
There is nothing to learn really (that is if you aren’t implementing GTD or some other productivity system) and you can start with the tool immediately.
This doesn’t have to be permanent
I was so against using paper after using digital tools for a number of years. But what it came down to was that I needed to re-learn how to create and use a system. Paper is awesome for this because it helps you identify precisely what you need (as well as the things you don’t need at all) and helps you concentrate more on organizing and checking things off of your todo lists rather than figure out the exact taxonomy for your project on saving the world.
When you fiddle with your tools you aren’t saving the world, you are fiddling.
As you gain a better understanding of what your tools need to do to facilitate your workflow, you can start to see which digital systems can match that feature specification.
Transitioning from paper to digital
Now that you have figured out what you need in a tool and what you don’t at all need in your productivity system, you can start your search for a digital tool and transition to it. That is if you want to.
I have met a lot of people that are just as, if not more productive with a paper and pen than I am with OmniFocus on my two Macs, iPhone, and iPad. I believe that it has a lot to do with them being very intimate and close with their system, where as a digital tool can feel somewhat sterile and binary.
The easiest way to transition is to start dumping your paper planner’s contents straight into your new tool and set it up relatively close to what already have. If you use a bunch of different lists for each area that you do your work in (contexts) and also a list of all your projects and reference materials, make sure that your desired digital tool can handle it.
Slow down to speed up
Paper may not be the most powerful productivity tool you can get your hands on, but it sure will show you exactly what you need and don’t need in a productivity system to make it work for you.
I spent a good 3 months working with a paper planner through college and a full time job at the same time. It was annoying to have to rewrite things every once in a while, but it made me realize exactly what I needed in a productivity tool and helped me stop spinning my wheels trying to find the perfect digital tool.
Sometimes we have to use the most basic tools, understand how are productivity system is supposed to work, and then make it work with a decent digital tool that fits our needs.
If you are roaming around in the digital todo list and productivity tool jungle, give yourself a break, grab a crappy notebook and start getting some work done.
Personal Productivity Book Review: “Creating Flow With OmniFocus” by Kourosh Dini

Disclaimer: I am a Getting Things Done geek which is a productivity system creating by David Allen. This article assumes that you have a clue of what Getting Things Done is. If you don’t, check out David Allen’s site for more information.
Over the past half a year I have reluctantly adopted using OmniFocus for my personal productivity system and core Getting Things Done implementation. I use the word reluctant because I don’t solely live in an OS X environment. I actually develop on a Windows machine so not having the OmniFocus client on my main machine has made me quite apprehensive in adopting this awesome tool. I figured that since I had my MacBook and iPad though that I could use these to make OmniFocus work in my life.
One of the main reasons that I have decided to use OmniFocus as my personal productivity tool is that it does a great job of automating my projects and next actions for me. To get this type of automation OmniFocus is a little difficult to setup and because of that it is hard to explain just how to do it. This is where the new e-book “Creating Flow With OmniFocus” by Kourosh Dini comes in.
At first blush
I first heard ramblings of “Creating Flow With OmniFocus” on the Mac Power Users podcasts as well as a few others and was intrigued to find out what it was about. The cost of the book is a hefty $30 but after reading some of Mr. Dini’s articles about implementing OmniFocus, I had a good idea that it was well worth the money.
The book is huge. Coming in at 551 pages in the PDF version. It is stuffed full of tutorials and screenshots to show you just how to implement some of Dini’s techniques. The book is typeset beautifully and is extremely well written.
When I bought the book I was thinking that it was going to be all about implementation because of what Mr. Dini explains on his sales page. But after getting into it I found that this book was about the practical and even spiritual side of the Getting Things Done method. This was something that was welcomed and a bit of a surprise to me.
What’s inside
Like I said before this book is full of useful examples and information and Mr. Dini delivers a “full spectrum” solution to implement your productivity system in OmniFocus. Here are just some of the things that you would find inside:
- Understanding basic principles like project and task handling, certain view modes, hiding tasks, filters and the Inspector, contexts, and the inbox.
- More advanced project stuff like focusing, outlining projects, quick entry, creating templates, and using repeats and time information.
- Setting up a “routine maintenance” plan and strategy, creating basic and advance perspectives, and using multiple clients (iPhone and iPad).
- Advanced principles like implementing a “Core Design”, handling tasks done today, calendar review, dealing with calls and agendas, and even email workflow.
- More advanced stuff like prioritization, GTD’s “Horizons of Focus”, attention and time.
- 20 awesome pages that tie up all the loose ends of the system that is implemented throughout the book.
Yep. There is a ton of stuff in this book and it took me about a week to get through it all. There was a lot of the basic stuff about OmniFocus that I already knew, but going back and looking at it even for the useful keyboard shortcuts was worth the time.
A few qualms
If you are looking for a simplified approach to using OminFocus this book may not be the best choice. There is a lot to setting up the system that Mr. Dini entails and if you are happy with using simple projects and context of OmniFocus, the manual that ships with OmniFocus coupled with Don McCallister’s excellent tutorial videos from ScreenCasts Online will do the trick.
Is it worth it?
In one word?
Absolutely.
This is by far the greatest tutorial on a piece of productivity software that I have ever laid eyes on. It’s concise and straightforward and it shows you just how to make OmniFocus become the most powerful GTD client on any operating system.
After applying just 10% of what this book offers you will gain a much better understanding of how OmniFocus can support a variety of productivity system implementations and can help you automate your next actions on projects more effectively.
Not only do you get practical advice in this book about setting up OmniFocus, Mr. Dini offers some excellent advice about productivity and creativity as well. In fact, some of his writings on the understanding of what David Allen means by a “trusted system” and making time for creative actions is the best that I have read.
So, if you are an OmniFocus user and you have a portion of uber-geek in you, I highly suggest picking up “Creating Flow With OmniFocus” by Kourosh Dini.
Creating A Framework For Productivity

Something that has sped the development of awesome web and desktop applications over the past 10+ years is the idea of a technology or set of technologies coming together in harmony in what is known as a framework. There are many popular technical programming frameworks out there today like .NET for Windows, Ruby on Rails, or Zend for PHP. These frameworks help the programmer development applications rapidly and in much less time than it took before the frameworks were available.
What these types of frameworks do is keep programmers productive by allowing them to concentrate on building their application rather than getting mundane and trivial things to work like database access, control usage, and even deployment in the environment the application will be used in. Without getting too-too technical, it’s pretty easy to see why frameworks are needed and appreciated by developers:
- They keep mundane things out of the way.
- The give the programmer awesome tools to work with to get more work done.
- This allows the programmer to concentrate on creating her app rather than what language or technology she is using.
Creating a framework for your life
That being said, why don’t we take a lesson from software development and engineering and apply it directly to our productivity practice? The idea of Getting Things Done is to keep track of the more mundane and next action type of stuff to clear our heads so we can concentrate on creating rather than just checking off a list of unimportant or habitual things that need done.
Developing a framework for your productivity can be just as liberating for us as a programming framework for coders. But what should this framework entail?
The mundane and everyday
One of the best tutorial ebooks I have read in the past year was Using OmniFocus by Kourosh Dini. This book should be bundled with the task management system OmniFocus because of its in depth setup of the system as well as some awesome insights about personal productivity.
Dini details how to setup some “Routine Maintenance” folders and projects that contain all of the routine stuff you have to keep track of. This forms the basis of the system and allows you to free yourself from simple things and look towards more creative actions and processes. He also discusses creating templates of repeated projects so you don’t have to weigh yourself down in the future with “boilerplate” types of processing.
But what’s this mean if you aren’t an OmniFocus geek like myself? Well, you need some lists or reminders around that keep the mundane and everyday things off of your mind. Whether it be a morning, noon, and night checklist of things that need done, weekly reminders, monthly and otherwise; all you need is to set something up to remind you and help you from thinking that you are forgetting something.
Before I was on the OmniFocus wagon I would have a repeating event on my calendar right before I left for work that had a simple checklist of things that needed done before I left the house. Things like, remember all needed school books, review your errand list for things that you need to take with you, remember your work ID, wallet, chargers and phone, etc. This simple, stupid list helped me keep the whole “I know I’m forgetting something” feeling away. This allowed me to concentrate on other bigger things that needed done in the day. It also allowed me to have my cup of coffee in peace and to actually relax before I entered my work day.
Taking care of the simple and mundane stuff everyday is a key part of creating your productivity framework. Without it, you will always have that sinking feeling that something is “falling through the cracks”.
Creative tasks and doings
Something else that I have found to be of utmost importance is to create repeating tasks for the creative parts of my life. These are things that I need to do everyday to keep my creative energy flowing and to allow myself to do something other than think about “real work”.
There are a couple of creative tasks that I have now that repeat every single day including writing 750 words and working for at least an hour on my web app idea. This time is blocked out everyday, so no matter what I am doing two things that benefit my spirit and sanity.
Being productive and spending your energy on “real work” is great, but without having some “you time” your productivity framework can fall apart. Sometimes we just need to be selfish a little bit every day.
From framework to getting important things done
Now that you have created a framework of the mundane and creative things that you want to commit to every day, it’s time to clear them out of the way so you can concentrate on moving your projects forward and accomplishing your goals. Making these routine tasks a normal part of your day is the first step in creating a productivity framework for your life.
The more that you don’t have to think about, especially the habitual and even boring stuff, the more you can concentrate on important aspects of your work and creating real value in the world.
Web App Review: Let’s Remember The Milk in 2011

Remember the Milk has been a staple to-do list web app for many years now and has been known to be one of the best and even most reliable. It’s known for a clean simple interface and sometimes forgotten about power under the hood. Remember The Milk (RTM from here on out) can also be used for GTD (you know, if you are into that sort of thing), yet flexible enough for any other productivity system you can throw at it.
But, even with such a excellent and stable track record, RTM has made some significant improvements in the past year with the most notable being their brand new iPad app.
Look and feel
At first glance RTM is a simple and very clean interface. If you are a white background, dark text kind of person, then RTM is the type of interface you will enjoy. Users are given an Inbox and Sent items list at first blush and adding todos to your inbox is extremely easy. Once tasks are created you can check the task and change the due date, the repeat of the task, a time estimate, tags, location of the task, or a URL. Completing the task is as simple as checking it and pushing the complete button.
You can also assign the task to a different list but it is somewhat counterintuitive. You first must create a new list by going to Settings and the Lists tab. This is a good place to create your contexts if you are a GTD type. Once you have some lists you can go back to your tasks by choosing the Tasks option. Adding a task to a list is done by checking the task and clicking on the More Actions dropdown and choosing the list to switch it to. Even after many years of using this workflow, I still feel that it is unintuitive and could be changed to allow for a drag and drop to tab type of interface.
The task settings “float” to the side of your lists and with the settings bar you can change an individual task’s settings or even check multiple tasks and group the settings together. Also, the note field is on the right where you can add multiple notes per task. You can also select tasks by choosing all of them, the ones that are due today, due tomorrow, overdue, or none at all. This is a nice way to mass edit settings or even complete or postpone a set of tasks.
Features
Remember The Milk is truly a full-featured web and mobile application with versions for the web, iOS, Android, and even sync with Outlook. Let’s take a quick look at some of the many awesome features:
- Full web, iOS, Android, and Outlook for Windows synchronization ($25 a year premium account needed for some pro features)
- iPad version with a truly unique interface and user experience
- iOS and Android version take advantage of location based tasks and alert you based on your user settings
- “Unlimited” list and task creation (I haven’t fully tested this, but I have never had an issue with too many tasks or lists)
- “Smart Lists” allow you to save searches based on any criteria that a task may have allowing you to create customized views of your lists
- Awesome “smart add” feature which allows you to add a task straight to a list, add a due date, tag, or even location while you are typing it in
- Offline support with the deprecated Google Gears
- Add tasks by Twitter or email
- iCal service, RSS feeds for your lists, and the ability to create public lists for others to share
- Active user community and developers that aren’t too shabby
Gripes
Like I said, RTM is a full-featured and completely a mature web and mobile application. There are only a few gripes that I still have to this day, including no subtasks or linking of tasks into projects, no start dates to help hide repeating tasks, annoying logo that can’t be hidden at work without an add-in for your browser, and out of control tabs for your lists.
Besides those four things, I have to say that RTM is still one of the best web apps out there for helping you stay productive. The one thing that RTM has over many other task management apps on the web is its maturity and speed. The app is really darn fast while using Firefox or Chrome and hardly (if ever) crashes on me. Another thing is that sync is incredibly fast between multiple devices.
Also, with the new iPad app and its gorgeous new interface, RTM is definitely worth another look if you haven’t checked it out in a while. So, head on over to the RTM homepage and sign up for a free account or login to your old one if you haven’t been around for a while.
Why We Over-Complicate GTD and What To Do About It

Disclaimer: I am a GTD guy, so I tend to interchange GTD and productivity throughout the article.
If you read this blog on a regular basis, or blogs like it, it is probably to find some sort of secret way to get more done in your day.
So many people after reading David Allen’s Getting Things Done walk away with the attitude that everything outlined in it is “common sense”. The ideas in the book are simple, so simple in fact that we sometimes “fake ourselves out” into thinking that there just has to be something more to it. This can’t possibly be as easy as writing everything down and putting it in places and lists that we trust and we know that we will continually review. There’s got to be more.
Over-analyzing productivity
This type of thinking that GTD and other productivity systems require some sort of special tool or workflow to become really valuable leads practitioners in a cult-like fashion to purchasing better pens, Brother labelers, and to go on the never-ending Google search to find the perfect GTD application and setup.
The thing is is that we are only complicating the idea of getting things done in our lives and only making it harder on ourselves. When you tweak your GTD “system” to make sure that you have your contexts, folders, and tagging just right (God forbid you screw up your tagging) you aren’t being productive. You may think organizing your project’s next actions in such a way that everything is planned out and “perfectly” is the idea of GTD and the essence of being productive, but it isn’t.
Why we complicate GTD and our own productivity
After a bunch of reading and looking at productivity systems over the past 5 years I have come to the same conclusion that most everyone else has about why we complicate productivity, work, and ultimately become terrible procrastinators.
It’s all about fear. Nothing else.
If you have a project on your list that hasn’t been moving forward, it most always has to do with fearing the outcome because of not identifying the correct next actions. Either that or you are truly incapable of doing the tasks to complete it (skill-wise or other-wise). The thing is that fear is not the direct reason that we over complicate GTD and our system. Not identifying the fear of a project or action is the reason that we over complicate our systems of productivity.
Because of this “unawareness” of fear of uncertainty about our projects, we tend to procrastinate and blame our system as the reason that we can’t get the stuff done on our lists. From here on out it is a snowball effect of trying to find the perfect tools and setup so we can get more things done.
Listen, I am all about making a system very approachable and fun to use, but if you can’t check off the task of calling your Mom for a couple of months, then maybe the way that you tag your tasks is the least of your concerns.
From identifying fear to action
If you sound like someone outlined above then there is an easy process to get back on track and make GTD work for you.
- First and foremost, layoff the Productivity Pr0n. That is, quit looking for the best GTD app for ‘x’, or how to GTD with ‘x’ tool. You can end up doing this forever and never getting anything done. Just layoff.
- Pick a tool and stick with it. Hell, just use pen and paper until you really get how to “do GTD”, or if you absolutely have to use something on a computer consider very simple tools like a text file. Just pick something that you can use to concentrate on the process rather than the tweaking of the tool.
- Prune your next action and projects lists ruthlessly. If there is something that has been on there for months without any movement, get rid of it. If it is something that you really need to do and you just aren’t doing then throw the thing back in your inbox to process again.
- Identify next actions and do them. If you don’t want to do the thing that is on your list then take it off your list.
It sounds stupid I know; “just do the task”. But really this is what needs to be done. If you can’t do what you have planned to do, then it is time to take a deeper look at what is holding you back. This could be that you don’t have the necessary inputs or that you are over-committed with other projects and responsibilities. Regardless, to move forward on any task or project you have to either just do what you have identified or figure out why you aren’t doing it.
So, why do we over-complicate the simple process of GTD? It comes down to fear of doing something on our lists and then blaming our system for the project or action not getting done. Hopefully, if you take a step back, identify your fears in your list, simplify your system so it’s just you and your actions, and then act or re-commit to the actions you can stop the endless cycle of over-complicating your productivity practice.
Web App Review: Doit.im Brings a Cross-Platform GTD Experience To The Masses

I try very hard to not stray down the path of GTD web apps as it usually leads to me thinking that some other app is better for some other reason and I change my whole entire system over to find that it really has nothing to do with the system in the first place. But, there has been one GTD application that has caught my eye for at least the past year because of its ubiquity and general adherence to GTD principles.
Doit.im is available on the web, on iPhone, iPad, Android, Windows, and with a Mac client coming soon and is a full-featured GTD task management app.
I’m not all about making a system into a GTD system; I’d rather have a system that was built with GTD in mind and that is why we will be taking a look at doit.im and how it stands as a full project and action management solution.
First Impressions
Like I said before, I have been watching doit.im for about a year or so now and have seen new features and tweaks added to the app as the time has past. The app definitely tries to take the idea of GTD and automate it. You will find the normal “Inbox”, “Someday/Maybe”, and “Waiting For” categories as well as the use of the “Context” and “Project” terminologies. The app’s layout is clean and there are two different versions. The older version takes a “wired notebook” type of look, that in my opinion is annoying. The newer beta version has a sleeker and more clean look and is the one that I have used more. I will say that neither are completely appealing to me.
One thing that I noticed right off the bat was that the app seemed very slow when accessing online. I tried Safari, Firefox, and Chrome with none of them being noticeably faster. It looks like the developers need to work on the speed of the web app. I found that the beta version was much slower than the “older” version of the app.
Where Doit.im lacks in speed and looks the app makes up for it in organization and work flow. Actions and projects are easily added to your lists and applying context and projects to tasks is easy as well. Scheduling tasks for a specific due date works well and adding repeats and reminders is just a click away.
The one thing that I can’t wrap my head around is how the inbox is handled. My idea was once you added a context or a project to a task that the task should be removed from the inbox and be considered “processed”. This isn’t the case. It appears that you have to either schedule or move the task to Someday or Waiting for to get it out of the inbox. Not necessarily the most intuitive thing, but once you get the workflow down, it shouldn’t be that big of a problem.
Features
Doit.im is absolutely full featured and I would consider it to have almost everything that a GTD practitioner would want in a system including:
- Cross platform goodness (available on the web, Windows (Mac coming soon), iOS, and Android
- Creating tasks with context, due date, repeats, reminders, and project criteria
- Allows for totally separate projects to sort by
- A nice calendar view to see when stuff is due
- Ability to create custom tags and contexts
- Full sync with web, Windows, Android and iOS clients
The only real feature that Doit.im is missing for this GTD geek is the start date field. I have confessed my love for start dates before, and without them my system starts to feel weak. For some this may not matter at all though.
Mobile Apps
The mobile interface for Doit.im has vastly improved for both iOS and Android since the last time I have looked at it. The design is clean and unique and gives the user access to the most use features of any GTD app; the inbox, context lists, projects, due and scheduled items, waiting for, etc. The app also has a cool new way to add tasks with the “Quick-add” feature which gives the user a task entry bar with the task attributes in button form below the entry box. It’s a super fast way to add new actions to your trusted system.
The app syncs very quickly and gives the user the option to sync after a certain amount of time or even a “Real-time Data Uploading” feature. This pushes the updates directly to the server as you make them on the device. The developers of Doit.im have made a compelling UI and experience for the mobile apps. In fact, I prefer the mobile apps over the web app.
Wrap-up
Like a said before, searching for better GTD apps can turn into an unhealthy obsession. Us GTD geeks like to look for new shiny tools more than we like to use them. I have drawn my line in the ground with OmniFocus, mostly because if I could I would change my tool every week. But, if you are a GTD practitioner or a new GTD wannabe and are in need of a cross platform, full featured, task and project management app, Doit.im is extremely compelling. Web App Review: AwayFind Helps You Stay Out Of Your Inbox

Your email inbox is killing you.
Well, maybe that is a little extreme, but the peeps over at AwayFind think that living in your inbox isn’t the greatest thing in the world. So, to rid you of obsessively checking your inbox 20 times or more a day they decided to develop a new service for alerting you of important messages and helping you stay out of your inbox all day long.
The premise
The idea behind AwayFind’s service is to keep you out of your email inbox by having their service send you urgent messages and things that are worth knowing about. The service will scan your inbox and depending on what filters you have set up on the site and which notification services you have enabled, AwayFind will notify you of messages that you deem important.
AwayFind also offers a way to auto-respond to email as well as giving emailers a way to contact you via a customized web form. The service also can notify you in a ton of different ways including SMS, phone call (not for the free account), email (kind of redundant, huh?), Yahoo! Messenger, AIM, Google Talk, even native iPhone push notifications (Android coming soon).
These kind of services always seem cool at first blush, but once you start setting it up and using it, there tends to be something missing. Let’s see what AwayFind has to offer for users.
Setup
With all the crazy promises and unique features of the AwayFind service you may be surprised to know that it is super easy to set up. I always dread having to sign up for a trial of a new web app, mostly because they force information out of you that you don’t want to give. Not the case at all with AwayFind; I quickly set up my account by using my Google login and I was guided through the process of setting up which way I want to be notified of something important in my email inbox.
I setup straight SMS messages by supplying my cell number and the system sent me a verification code to enter. After the initial notification and email address setup you can then setup the filters that you want the site to apply to all of your incoming email messages.
Two filters are already setup for you as examples. The first is an alert that sends you a message when a contact that is included in a calendar appointment within the next 12 hours emails you. The second is an email with ‘urgent’ or ‘asap’ flags. You can then setup new filters based on a contacts name, who the email is to, what the subject is, etc. You can then set up a notification to come to you between certain times on the weekdays and weekends.
After setting up some filters you get the chance to take a look at the other great features of AwayFind like the iPhone app that sends push notifications, intelligent auto-responders and email signatures, a customized contact form that can be used for contacts to send you alerts, etc.
I have to say that AwayFind has done a damn good job of making a complicated thing easy to set up. Even with my technical ability, I sometimes find that these kind of services are complicated and confusing. AwayFind has made the process easy for users of all walks.
Features
If you are a feature hungry person and want all kinds of ways to control your incoming email, AwayFind has got you covered. The account that I tried was the free account and found that even for a “limited” version of the service, there were more features than I would possibly find myself using. Here are some of the features:
- AwayFind includes ways to setup intelligent filters for scanning your email and notifying you of it
- iPhone client for push notifications (with Android coming soon)
- Gmail and Outlook plugins so you can setup and edit filters without signing into the site
- Custom contact form for people to fill out to contact you
- A handy guide on how not to check your email
Also, AwayFind offers several plans that have different amounts of features for users. There is a free version, a Monthly Starter for $15/mo, and a Yearly Pro option for $139/yr. The free plan of course includes a limited amount of features and smaller caps for alerts while the paid versions up the caps and features. Execution
I found that after setting up AwayFind with a few filters that included friends that email me once or twice a week that the service was reliable and decently fast. I did sometimes notice that I would receive SMS alerts in the opposite order that I actually received the email messages, but in my opinion this is a non-issue.
I then set up several different accounts that AwayFind could send alerts to me including my GTalk account, Twitter, and AIM accounts. I found that setting up the GTalk account took a couple of tries, but everything else was fluid and easy to set up. When receiving messages that matched the filter criteria that I outlined all my accounts alerted me in harmony. It sort of reminded me of The Office’s Ryan and his new web service “WUPHF!”. (Pronounced “Woof!”)
Overall impressions
I have to admit that I genuinely like what AwayFind is doing here. I think that having the ability to receive “priority” messages via SMS and other outlets is a good way to stay away from checking your inbox every 5 seconds. But, I do think that there is a small audience for this service.
I get a lot of email, but I find that just checking my email 2 to 3 times a day is enough for me to stay on top of things. My contacts know if there is an emergency to call or SMS me. But, if you are receiving hundreds of emails every day and are having a difficult time sifting through the endless garbage that you receive, spending some time with AwayFind’s filters may just be the way to finally take control of your email.
At the very least, sign up for the starter account to see if this service could work for you; it is definitely worth looking at if you are obsessively checking your inbox.
